WELCOME TO ARCHIBUS!

Archibus is the new Computer Maintenance Management System (CMMS) for Physical Plant, coming online March 3.

Archibus is an automated work request system that will allow Physical Plant to more efficiently manage work requests. Below you will find several links to assist you in navigating the new system including instructions on how to generate a work request, the work request site, and a link to the status of your work request once in the system.

Please note that we have added a list of typical billable items. These items are not included in daily maintenance and will now require submission of a work request that includes an index code provided by a financial approver from your area before the work can begin.

All existing work orders submitted between July 30, 2024, through March 3, have been reviewed and either transferred to the new system or closed to ensure a fresh start. If your work order was closed but the requested work remains incomplete, please submit a new work order. For detailed guidance on how to proceed, refer to the "Getting Started with Archibus" information.

If you need further assistance using the new work request site, please contact Physical Plant Work Control at (901)678-2699 between the hours of 7:30 a.m. and 4:30 p.m. Monday – Friday.

Important Updates: Billable Items and Labor Rates

Certain tasks that are outside the scope of daily maintenance must include the following: 

  • An Index Code: Provided by a financial approver from your area.
  • Approval: The index code ensures the task is approved for billing before work begins.
