CUWiP Travel Support

We aim to make CUWiP accessible to everyone. All meals and accommodation during the conference are organized and the costs are met by CUWiP. You do not need to book or arrange accommodation on Friday or Saturday night. Travel to the conference is usually paid for by your home department. In cases where your own department, or other sources, can not cover the cost, some funds are available to provide support travel to CUWiP so hopefully no one has to miss out on CUWiP for financial reasons. Please note that travel funds are limited and will be assigned on a first-come first-serve basis as long as available. In order to access those funds, please email cuwip@memphis.edu to request travel support at the time of registration along with a statement from your department and an estimate of your travel cost.

Travel costs will typically be reimbursed after the conference. Before you book a plane ticket, or any other travel ticket costing more than $100, you must first email the cost and itinerary to cuwip@memphis.edu to receive advance permission prior to incurring the cost. Significant costs which are not pre-approved will not be reimbursed.

Check-In

The check-in for the conference starts at 1pm on Friday, January 24 2025, in front room 216 Manning Hall, that is on the 2nd floor of the physics building of University of Memphis. All participants must check in at the physics building first. Hotel assignments will be given at check-in. If you have a poster, you can check it in for safe keeping.
At 4pm, we will start the tours of physics labs, the Integrated Microscopy Center, and the Museum of Science and History (MOSH).

How to get to University of Memphis

Memphis is located at the west corner of the state, right by the Mississippi River. The closest International Airport is Memphis International Airport (MEM), about 10 miles away from the university. We will organize a shuttle bus from the Memphis airport to campus. The bus will depart from the airport hourly, at 1 pm, 2 pm, 3 pm and 4 pm on Friday, January 24 and arrive on campus about 20 minutes after each departure. For the return trip, there would be shuttle  leaving for the airport, hourly after the close of the conference at on Sunday, January 26 starting from 2 to 6 pm and arrive at the airport approximately 20 minutes after each departure. Participants traveling by car should come directly to the physics building on the University of Memphis campus locate at 3744 Alumni Dri., Memphis TN 38152. Parking information would be provided before the start of the conference.

Accommodation Assignments

Students will be assigned two to a room, each room with two double beds, one bed per person. Participants may specify roommate preferences on the registration; otherwise, roommates will be assigned by the organizing committee. Your room assignments will be emailed to you prior to arrival. Speakers will be assigned a room reservation by the site.  Non-undergraduate attendees, and chaperones may also be provided with a room reservation but will be responsible for the cost of the accommodation. Please contact us at XXX to arrange accommodations.
