UofM Study Abroad Credit Transfer Policy

Faculty-Taught Programs

Students participating in a faculty-taught study abroad program will enroll in the companion course(s) with the CRN provided by the faculty leader before the program. Students must enroll in the companion course adhering to the standard enrollment period of the University of Memphis for the term the program takes place.

Students participating in the TNCIS program will receive special instructions from the University of Memphis Study Abroad Office.

Community members participating in a UofM faculty-led program must enroll in a Professional/Continuing Education course.

Non Faculty-Taught Programs

Students participating in a semester long or short term education abroad program that is not taught by a UofM faculty member must follow the procedure below for obtaining transfer credits.

The transfer credit request process should be completed before you submit your study abroad application. 


Please note: Transcripts will be sent from a partner institution abroad or a third-party organization. Transcripts take on average 1 to 4 months after completion of the program to arrive at the University of Memphis. There is a possibility that the transcript from your study abroad program may not arrive by graduation deadlines and may cause a delay in graduation. Please contact an education abroad advisor if you plan to graduate soon.


Transfer Credit Request Approval Process 

Undergraduate Students ONLYIf you are a graduate student, please see "Transfer Credit Approval Process (Graduate Students)" below.

Please read through the Undergraduate Admissions Education Abroad Transfer Credit website thoroughly. Then, you will start the online Transfer Credit Request form provided in the questionnaire section of your education abroad application.  

How to Complete the Education Abroad TCR Form:

1. Have your program course information ready, including course codes, titles, and a link to the course description or syllabi.

2. Click the link to the electronic TCR form below.

3. Fill out each empty question on the form, including student information, program information, and course information. Your program name should match the name on your Education Abroad application. Contact your Education Abroad Advisor if you cannot find course descriptions/syllabi for your program. Contact Admissions (admissions@memphis.edu) if you have any difficulty submitting the electronic TCR.

4. Click Submit at the bottom of the form.

5. Your TCR will be routed electronically to Admissions, your academic advisors, and your graduation analyst. Be aware that you may receive an email from Etrieve/Softdocs if the form is returned to you for edits.

6. You will receive an email to your umMail when the form has been fully signed and is ready for you to download.

7. Upload the final, signed version of your TCR below.

Undergraduate Transfer Credit Request Form

During the study abroad program:

  • Students should keep all documents relating to the courses from the host institution abroad, including syllabi, reading lists, papers, returned examinations, evaluations, and notes from each course.
  • If students do not obtain approvals before departure because course information was not available or because they switched classes, they can start the approval process with the same online TCR link provided in the TCR questionnaire after registering with the host institution.
  • Students should request the host institution transcript be mailed (or emailed) to the University of Memphis Education Abroad Office after completing the study abroad program:

After returning from the study abroad program:

  • The Education Abroad Office notifies students once official host institution transcripts have arrived. It could take one to six months for transcripts to arrive at the University of Memphis.
  • After students confirm the transcript is correct, they are given a copy. The Education Abroad Office then forwards the transcript to the Undergraduate Admissions Office to complete the transfer process. If any course changes occurred while abroad, students must complete an updated Transfer Credit Request Form following the procedure stated above.

Please note: After completing the transfer process, students' official UofM transcript will reflect that a student studied abroad, the time frame, how many credits earned, and the grades earned. Students cannot request "pass/fail" for the credits earned while studying abroad. Letter grades from study abroad programs will transfer as letter grades to their Memphis transcript and impact the GPA.

Students applying to graduate or professional school should keep in mind that the original transcripts from your study abroad program may be required for the application process. Students should contact the Education Abroad Office well in advance of the application deadline in regards to requesting an official transcript.

Graduate Students

Before Departure:

  • It is strongly recommended that students have a conversation with their academic advisor to learn which classes they need yet to graduate so that students can select appropriate courses and/or program.

  • Students obtain course descriptions of all the courses they plan to enroll in at the host institution and have them translated into English, if necessary.

  • Graduate students will submit the completed Master's Credit Transfer Form or Doctoral Credit Transfer Form to the Graduate School Graduate Analyst (gsgraduateanalyst@memphis.edu), FedEx Institute of Technology building, Suite 201.

During the study abroad program:

  • Students should keep all documents relating to the courses from the host institution abroad, including syllabi, reading lists, papers, returned examinations, evaluations, and notes from each class.

  • If students do not obtain approvals before departure because course information was not available, they can start the approval process via email after registering with the host institution.

  • Students should request the host institution transcript be mailed to the University of Memphis Study Abroad Office after completing the study abroad program:

  • The Study Abroad Office notifies students once official host institution transcripts have arrived. It could take one to six months for a transcript to arrive at the University of Memphis.

  • After you confirm that your transcript is correct, please make an appointment with the Graduate School Graduate Analyst (gsgraduateanalyst@memphis.edu), located at the FedEx Institute of Technology Suite 201 to complete the credit transfer process. Please allow 2 - 7 days for the credits to post to your UofM transcript.

Please note: After completing the transfer process, students' official UofM transcript will reflect that a student studied abroad, the time frame, how many credits earned, and the grades received. Students cannot request "pass/fail" for the credits earned while studying abroad.
